How it Works

Log on to www.roomchecks.com.

Indicate which hotels you'd like to audit and upload your registration and housing lists. You can monitor the progress of your audit and, when it's complete, view and download the audit reports.

RoomChecks Housing AuditSM allows an event organizer and a hotel to compare the registration list for an event to the hotel’s in-house guest list - easily and accurately. The match report shows the hotel guests who attended the event, but did not book their room through the official housing block. The report is available for download by both the sponsor and the hotel.

To use RoomChecks Housing Audit you'll need the following:

• A computer running Windows® 98 OS or above;
• Microsoft® Internet Explorer v.5.0.1 or above;
• Microsoft® .Net Framework installed (free download);
• Broadband access to the Internet

Step 1 — Event sponsor registers for an audit (www.roomchecks.com). 
The sponsor identifies the hotel(s) to be audited, and provides a hotel contact name and email address.

Step 2 — RoomChecks automatically notifies the hotels of the audit request.
The email notice explains what the hotel will need to run the audit (peak night guest list for the event, .NET installed).

Step 3 — Sponsor downloads the audit wizard from the RoomChecks website.
Sponsor opens the event registration list and housing list inside the audit wizard. The wizard automatically compares the lists, deletes the names that appear on the housing list from the registration list and uploads the modified registration list.

Step 4 — RoomChecks emails a login and password to the hotel.
The hotel accesses the audit wizard and uploads the peak night guest list.

Step 5 — A report of potential matches is generated.
The audit wizard compares the hotel list with the modified registration list. First and last names, city, zip code, phone number and email address fields can automatically be compared. The match report shows the match criteria for each name found. Both sponsor and the hotel have access to the match report.
