Housing audits have become a preferred tool for eliminating or reducing attrition penalties, and for documenting occupancy for an event. Audit clauses are now routinely included in contracts between event sponsors and hotels. It can take days or weeks to complete an audit, however, because attendee names must be hand-matched to rooms.

RoomChecks Housing AuditSM is a web-based service that automates the audit process. Audits are now fast and easy whether you're an event sponsor auditing one hotel or an entire block, a hotel handling audit requests from numerous event sponsors, or a CVB documenting the economic value of an event.

You can also use RoomChecks to access key marketing data and analyze attendee booking patterns -- how, when, and why event participants book around the official block. Data is gathered anonymously, in compliance with sponsor and hotel privacy policies.

Account for every room night used
Event sponsors who face attrition penalties or reduced concessions because pickup for their event was low need to document every room night used by their group.

In many prime convention venues, sponsors must document pickup to receive priority positioning for space and dates.

RoomChecks ensures that sponsors are credited for every room night used. Sponsors receive an audit report showing the matches found (and the match criteria) to identify attendees who booked around the block. RoomChecks eliminates guesswork, and the potential for errors or omissions in the final tally. 

Target your marketing efforts
RoomChecks can also provide information to analyze what drives attendee decision-making. Reports on key marketing data -- such as booking and pacing patterns, the sources attendees use when making reservations, and rate analysis -- help sponsors target incentive and marketing programs to keep bookings inside the block.

RoomChecks gives CVBs a more accurate method for estimating the true economic impact of a citywide event. Data on rooms booked around the official event block is more complete than with a manual audit. For the most comprehensive analysis, non-block hotels can also participate in the audit.

Maintain data privacy
RoomChecks data privacy procedures keep sponsor registration data completely confidential and meet or exceed the requirements of hotel guest privacy policies. Access to a hotel's property management system is not required. RoomChecks software operates behind Microsoft's .NET Framework security wall to ensure both hardware and network security throughout the audit process. Neither an event sponsor nor a hotel can view or access the other's data, but both can view and access the results of the audit.
